How to submit meeting and newsletter announcements

These are your guidelines to make sure your meeting or newsletter announcements gets posted quickly and efficiently.

If your event or workshop has a fee and registrations you want to manage through the announcement, your choices are:

  • Use Eventbrite for simple events with one price.
  • Use the GNPA's RegOnline event management and registration service.
  • Do it manually yourself.

If you decide to use the GNPA RegOnline service to handle registrations, you must complete this form:

The requirements are simple:

  1. SEND ONLY WORD DOCUMENTS
    • Send a Word Document only. We cannot use a PDF to get the text and images from it for your announcement.
    • You can include a PDF announcement if you want to give people something they can download. That’s fine.
  1. START WITH THE ANNOUNCEMENT'S TITLE
    • PUT THE FOLLOWING INFORMATION IN THE TITLE
    • When, Who and What in the title, follow this format:
    • January 20, 2016 Sammy Sardine will present “Underwater Photography without getting wet”
    1. INCLUDE WHICH CHAPTER IS THIS FOR
  2. Others who do not know the chapter members help put stuff in so make it easy to get it right.

    1. SEND YOUR ANNOUNCEMENT FORMATTED EXACTLY LIKE YOU WANT IT TO APPEAR
    2. Don’t send something like “it’s Sammy Sardine doing a presentation, see his website for the info.” (Yea, we get those)  It’s your meeting. Write out exactly what you want it to say and include everything someone will need to know who knows zip about what you are talking about.

    1. IMAGES
    • Insert your images in where you want them in the article
    • Send images as separate attached files. Embedded files can’t be used.
    • RESIZE YOUR IMAGES! Because 90% of the time a page load takes is usually downloading images, keep them small so people don’t click away.
      • NO IMAGE LARGER THAN 350px wide and 300px high. Maybe go to 400px wide but it should be only if absolutely imperative. People read our site on cell phones…
      • SHRINK YOUR IMAGE TO NO MORE THAN ABOUT 40K TO 50K and use 120dpi for the resolution. We can’t use huge files. If you don’t size the image, the browsers will use their chainsaw resizer and butcher the image quality if it even displays...
      • MAKE THE JPGS as they are typically the smallest. Use PNG only if you have to due to transparency or other considerations.
    • NAME YOUR IMAGE AS FOLLOWS: yyyy-mm-image title. i.e., “2015-11-ducks in a pond.” With all the images that go into our site, we need to periodically clean out the old ones so the site doesn’t bog down.
    1. SEND TO: - Get your announcement to us right and it will go in fast….
